JOB DESCRIPTION

Job Title: Human Resources Intern                                                Schedule: 10-20 hours per week

Job Type: Part-time                                                                  FLSA Status: Intern

Reports to: HR Generalist                                                         Pay: $23/hr, starting

Special: This is a temporary remote-working position. 

May require travel to sites.


**This is a temporary assignment with an end date of August 2025. While this is a remote position, some in-person work will be required**

POSITION SUMMARY:

Are you interested in working in the field of Human Resources? The open Human Resources Intern position is a great way to gain applicable HR experience. The HR Intern is responsible for assisting the HR Generalist and Chief People Officer, as needed. The HR Intern reports to the HR Generalist, yet works closely with members of the HR department. The HR Intern performs clerical filing tasks, serves as a liaison between employees and the HR department, and assists the HR Generalist with hiring.


ESSENTIAL FUNCTIONS & JOB DUTIES:

Essential functions include, but are not limited to:

NETWORK CONTRIBUTIONS

  • Demonstrates knowledge of and supports Ingenium Schools’ noble cause, values, standards, policies and procedures, operating instructions, confidentiality standards, and code of cooperation
  • Strive to implement, by instruction and action, Ingenium Schools’ philosophy of education and goals/objectives in connection with Ingenium’s Signature Practices
  • Continuously maintain and improve professional competence
  • Attend mandatory trainings, professional meetings, and educational conferences, as required
  • Initiate and exercise good judgment and positive working relationships with the community, students, staff and with public and private agencies


KEY CONTRIBUTIONS

COMPLIANCE

  • Assist in verifying and maintaining personnel documentation, including staffing, recruitment, training, and all employee life-cycle documentation
  • Attend weekly meetings with the HR Generalist
  • Assist with teacher credential and TB oversight

HR SUPPORT

  • Explain company personnel policies, benefits, and procedures to employees or job applicants
  • Answer questions regarding employment information and forward questions relating to salary and benefits to HR Generalist
  • Answer phones using a professional and courteous manner; route calls appropriately; take messages and distribute in a timely manner
  • Reply to general information requests with the accurate information; assist with typing, composing, faxing, copying, and emailing/mailing correspondence and letters
  • Forward terminations, leaves of absence requests, and employee concerns to the HR Generalist
  • Conduct in-person surveys/interviews on employee satisfaction or other relevant topics
  • Create marketing material for hiring, career fairs, and onboarding, as requested

HIRING/TERMINATION

  • Support in setting up for new employee orientations, onboarding, and career fairs
  • Update and refresh electronic job postings
  • Inform job applicants of their acceptance or rejection of employment
  • Assist in ensuring completion of all onboarding paperwork, onboarding trainings, and onboarding tasks
  • Greet and assist all new and current employees in a friendly and professional manner, providing excellent customer service
  • Greet, assign, equip and orient all applicants and new hires
  • Manage the calendar of HR Generalist and CPO
  • Schedule interviews, as requested


OTHER DUTIES, AS ASSIGNED

  • If bilingual, assist with translations (English to Spanish), as needed
  • Other general office duties/projects as assigned and needed

 

JOB QUALIFICATIONS:

EDUCATION:

  • Enrolled in a college program with a focus in HR or possess Associate's degree or BA/BS degree or exhibit interest in the field of HR
  • Experience working in a school district or with children of varied ages in a learning environment highly desired

KNOWLEDGE/EXPERIENCE:

Must have the ability to demonstrate and/or show competency in the following areas:

  • Personnel and Human Resources — Knowledge of principles and procedures for personnel recruitment, selection, training, compensation and benefits, and personnel information systems
  • Administration and Management — Knowledge of business and management principles involved in strategic planning, resource allocation, human resources modeling, leadership technique, production methods, and coordination of people and resources
  • Advanced proficiency in Google suite (Calendar, Docs, Sheets, etc.), Excel
  • Ability to quickly learn or experience working with HR administration software and/or project management software
  • Ability to work with constant interruptions and remain focused; understand and carry out oral and written instructions; learn new procedures and upgrade skills in order to meet changing job conditions
  • Math skills to add, subtract, multiply, divide whole numbers, calculate averages and percentages
  • Basic record-keeping and filing techniques
  • Correct English usage, grammar, spelling, punctuation and vocabulary
  • Oral and written communication skills
  • Interpersonal skills using tact, patience and courtesy

ADDITIONAL PHYSICAL DEMANDS:

  • Lift 20 pounds using proper technique
  • Must have adequate vision to effectively review documents in varied formats i.e. paper and digital
  • Must have adequate hearing to respond to members and interact with the public
  • Sitting or standing for extended periods of time
  • Dexterity of hands and fingers to operate a computer keyboard
  • Bending at the waist, kneeling or crouching to file materials
